Email sync filtering in pipedrive
Just started using pipedrive and set up email sync, but I'm getting every email pulled in, that vast majority of which have nothing to do with sales; I was hoping to filter emails not associated with a pipedrive contact but a) couldn't find that option and b) thinking through what happens when someone sends me an email who isn't currently a contact. What is going to be my biggest pain using Pipedrive
Been going through Trustpilot reviews and Reddit threads about Pipedrive and keep seeing complaints around data enrichment and competitive intelligence. Recent updates seem to be fixing the automation side so I am less worried about that. but still I am wondering about these: Is there anything your team tracks outside of Pipedrive in spreadsheets or separate tools because it just does not fit inside the CRM? pipedrive review - good choice or will I outgrow it fast?
We’ve had Pipedrive for about 8 months now with our 5-person sales team. We’re selling marketing software to mid-market companies, doing about 200-300 outbound emails per week. The good: Really intuitive interface, solid email sync, and the activity tracking is pretty slick. Custom fields are easy to set up. Pipeline management view makes sense. Price is reasonable for what you get. The not so good: Reporting feels basic compared to what I expected. The mobile app crashes on me maybe once a week. And their native lead enrichment is… not great. We had to bolt on Prospeo for decent contact data because Pipedrive’s built-in stuff was missing emails half the time. Biggest concern is whether we’ll hit limitations as we grow. Already noticing some friction with automation rules and the API rate limits. Anyone here migrate away from Pipedrive after a year or two? pipedrive vs hubspot for small b2b team - dont want to overpay
Been going back and forth on this for weeks. We're a 4-person sales team selling to logistics companies, currently using google sheets + email sequences through Snov.io but need something more structured. Looked at HubSpot first since everyone talks about it, but the free version is pretty limited and once you need sales hub pro its like 450 a month per user. that adds up fast. their reporting is amazing though and the marketing hub integration seems solid if we ever expand there. After 1 year building a CRM for travel agencies, here's what generic CRMs (HubSpot, Pipedrive, Zoho) keep getting wrong for the travel industry
I've been building a CRM + itinerary builder specifically for travel agencies for about a year, and along the way I've talked to dozens of agency owners about why they'd given up on HubSpot, Pipedrive, Zoho, etc. and fallen back to spreadsheets + Word docs. Sharing a few patterns I keep seeing, in case it's useful for anyone here — travel agencies choosing a CRM, other service businesses with similar workflows (wedding planning, custom manufacturing, architecture, legal), or CRM power users who like seeing where generic tools fall short. Not trying to sell anything, just sharing what I've learned. 1. The trip proposal has to live inside the CRM, not as an attached PDF. For a travel agency, the core deliverable is the trip proposal itself. Generic CRMs let you attach a PDF quote to a deal, but the actual workflow is: draft in Word → export PDF → email client → client asks for changes → update Word → re-export → email v2 → repeat. By version 3, nobody on the team knows which PDF is current, the client has 4 emails in their inbox, and the branding/layout drifts each version. The fix isn't "better file management." It's embedding the proposal as a live, versioned object inside the client record — a single shareable link that auto-updates, keeps branding consistent, and centralizes every version for the whole team. This pattern likely applies to any service where the proposal evolves through back-and-forth (architects, wedding planners, custom fabrication, legal drafting). 2. Payment state belongs on the deal record, not in a separate invoicing tool. Travel agencies juggle deposit → balance → supplier payments out → occasional refunds, all tied to specific trip dates. Every agency I've talked to was reconciling payment state across their CRM, their invoicing tool, and a shared spreadsheet. The moment "paid / unpaid / overdue" lives directly on the client record with visibility on what's due this week, team coordination jumps. Generic CRMs treat payments as an integration problem; for service businesses with deposits and long fulfillment cycles, it's a core CRM problem. 3. The default pipeline stages don't match how travel agencies actually work. "Prospect → Qualified → Proposal → Negotiation → Closed Won" is fine for SaaS. For an agency, the real stages are: inquiry → v1 quote → v2 quote → deposit paid → balance paid → pre-departure → in-trip → return → review. "Closed Won" isn't the end of the relationship — it's the middle. Trying to force this into a standard CRM pipeline means people stop trusting it and go back to their own spreadsheet. 4. For small agency teams, the #1 CRM value isn't individual productivity — it's team visibility. The feedback I hear most from users isn't "this saves me time on my own tasks." It's "my manager/owner finally knows where every booking stands without having to ask me." For a 3–10 person agency, the real win is killing the daily "where are we on the Martin booking?" conversation. Owners and managers can see open tasks, upcoming client departures, pending payments, etc. at a glance. Worth optimizing your CRM setup around team visibility specifically, whatever tool you end up using. 5. Lead capture friction is still a weird blind spot in most CRMs. Half the agencies I talked to were still copy-pasting leads from their website contact form into their CRM manually. A simple webhook from form → CRM solves it in an afternoon, but most generic CRMs make this unnecessarily complex (zapier subscription, premium plan, custom fields mapping hell). For small teams, auto-capturing leads directly should be table stakes in 2026. Question for the sub: for travel agency owners or anyone running a service business with long, iterative fulfillment cycles — how are you handling the "live proposal / deliverable" problem in your CRM? We Build Out Pipedrive for Clients Daily - These Missing Features Are Honestly Baffling
We implement and customise Pipedrive for clients across multiple industries. We genuinely love the system but there are some missing features that leave us (and our clients) completely stumped. These aren't niche requests, they're functionality that other platforms have had for years. Pipedrive, please address these! 1. Personalisation Fields in Email Hyperlinks Pre-filled URL parameters are essential in today's world. Whether it's a Calendly invite link, an onboarding form, or a booking page, any modern firm wants to present a polished, personalised experience to their clients. The fact that we can't insert personalisation fields into a hyperlink in an email from a contact or deal is a massive gap. We should be able to create a clean "Book Your Consultation" link in an email where the underlying URL includes dynamic merge fields in the parameters. Instead, we're stuck with three bad options: - Build the link in an external system (which no client will ever maintain) - Paste the full plain-text URL into the email which when you're pre-filling multiple parameters, can run to several lines and looks completely unprofessional -Store the link in a custom field and ask the client to copy and paste it manually This is standard functionality across virtually every other email and CRM platform. Please address this, we get asked about this all the time. 2. Joint Deals — Or At the Very Least, Joint Emails I appreciate that Pipedrive's core architecture wasn't originally designed to support multiple contact people on a single deal. While I believe that should change (and would strongly encourage it), the Participants feature does help to a degree. But here's the bare minimum ask: if a deal has participants, clicking "Email" should give us the option to email all of them. This is critical for any business where deals involve more than one person, think couples in real estate, joint applicants in finance, business partners in consulting. These aren't edge cases, they're the norm for many of our clients. Please allow participants to be auto-added to emails when initiated from a deal, if not by default, then at least as a toggle in settings. 3. Participant Visibility in the Deal's Person Field Sticking with the multi-person theme, on a deal you can edit the primary contact in the "Person" pane within the fields section but there's no way to view or manage participants from that same spot. Clients ask us about this constantly. Even just displaying all participants in that pane (with the ability to click through to their records) would be a huge quality-of-life improvement. 4. Checklists / Sub-Activities Within Activities Not every activity is a single task. Many are multi-step processes that sit under one umbrella, think "Prepare proposal" which involves gathering documents, running numbers, drafting the document, and getting sign-off. All we need is a simple checklist or sub-activity feature within an activity. Even just a checkbox or strikethrough option in the activity body would be a game-changer. The automation potential here is enormous too, once all sub-activities are ticked off, the parent activity auto-completes. I know Projects exists, but most of our clients live in the Deals pipeline and don't need a full project management layer. A simple checklist within activities would eliminate the need for so many businesses to run a second system like Trello, Monday, or ClickUp alongside Pipedrive. They don't need all the bells and whistles those tools offer, they just need basic checklisting. We're not asking for the world here. Need a better fit than Pipedrive for my business. Any thoughts?
Hey everyone, I’ve never worked with a CRM system before, but I’m now looking into using one for the first time. We recently exhibited at a trade fair and collected around 70 customer contacts. From our perspective, most of them seem like serious potential buyers. Our products aren’t very expensive, but each customer could generate roughly $2,000 in annual revenue. Now we want to properly manage the follow-up process after the fair — things like tracking sample shipments, whether samples were received, feedback from customers, emails sent, and overall communication. We're done with HubSpot—Looking at either Nutshell, Pipedrive, or Zoho as an alternative and need real user opinions, please.
We're a small contracting business (construction), and we've been on HubSpot for a while now. Honestly, it's been a frustrating experience. The platform has become bloated and clunky over time, pricing is all over the place (we were hit with an unexpected auto-upgrade that really stung), and every time we've needed help from support, it's been a dead end. We're a team of 8 using it across different functions: 2 people in sales, 2 in marketing, 3 who use it more for project tracking/management, and 1 person who mainly lives in the reporting and forecasting side. So we need something that's reasonably versatile without being overkill. We've narrowed it down to Nutshell, Pipedrive, and Zoho. I've been doing a lot of research, and right now I'm leaning toward Nutshell mostly because it seems to give you the most for your money at our size, and the feature set looks like it covers all of our use cases without forcing you into enterprise-tier pricing to access basics. Reviews also indicate that their customer support is really good. That said, Pipedrive and Zoho seem to be popular choices at a decent price point with a solid set of features. Honestly, I'm not 100% sure.... I've been wrong about software before, so I'd like some advice from people who have actually used these CRMs. If you're currently using any of these three (or have recently switched away from one), I'd genuinely love to hear your take: What do you actually like and dislike about it? How's the onboarding and customer support been? Any surprises, good or bad, after you committed to it? Any reasons you'd steer a small construction/contracting business away from one of these? Pipedrive Smart Docs is so basic, it's unusable. Who's using a signing platform they like?
Since the Pipedrive sub is a ghost town, I figure I'd try here as well. I don't even know where to begin but let's start with having to drag the entry/fillable fields for the receiver to fill every single time. We need the same information in the same exact place on the form every time. Why do users need to drag the fields to the form. We can't use it for anything with more than four fields or it becomes so tedious. I was just given a from with 15 fields and I have to use another solution because we can't expect a user to drag a text field to 15 fields every time. I don't even really understand the benefit to have them do so because the entries the client makes do not populate to Pipedrive anyway. Because the "entry" fields are not part of the template, we can't send a link to the form in our own email. Instead, it must be sent through Pipedrive's email address which clients have either blocked because they thought it was spam or they just do not receive those emails for who knows what reason. If we could at least see if the client viewed the email, but since Pipedrive displays a scary warning, every single client declines to be tracked. In 20 years of electronic signatures, I have never seen a warning that scares every single client into declining not to mention that I really don't want to explain to clients who this Pipedrive third party is when we're trying to get them to sign. Even if there wasn't a scary notice to warn clients into declining tracking, there is no notification that the client viewed the document which is the prime time to follow up and no automatic reminders to client which just creates more work for the team. Lastly, when the client signs, I don't believe there a single notification in Pipedrive. You get the emails and if I'm not mistaken, need to download the signed document and then reupload it into Pipedrive files. Fantastic. Is anyone else seeing more teams move from Pipedrive to Attio?
I recently came across a data point showing Attio being more widely adopted than Pipedrive in some vendor tracking data. pipedrive is killing our productivity.
our sales team switched to pipedrive a few months back thinking it would simplify things with the visual pipelines and automation. at first it seemed okay but now its dragging us down hard. what we have: deals scattered across slow loading pipelines that take forever to update automation that glitches and duplicates tasks or misses follow ups entirely constant manual data entry because integrations with our email and calendar keep breaking reporting thats clunky and doesnt give real insights without exporting everything mobile app that lags on basic stuff like adding notes during calls we have raised it with management multiple times but they say its just us not using it right. meanwhile reps are spending half their day fighting the tool instead of selling. deals are slipping because you cant trust the reminders or visibility in our sales pipeline management. anyone else dealing with this and what did you do to fix it or did you just bail for something else? submitted by /u/Appropriate-Plan5664 to r/SaaS [link] [comments]

Twenty: Self-hosted CRM (alternative to Pipedrive, Salesforce...)
Hey everyone, We’ve been working on Twenty for the past two years, but until now we held off posting here because we felt it was missing key features and we needed to make frequent breaking changes to iterate quickly. Today, we’re happy to announce Twenty 1.0! There are still a ton of things that we would like to build but the project is now in a place where we feel more confident sharing it with the r/selfhosted community. We're positioning ourselves as a CRM but I think the main strength is that it can be used as a generic platform for building any business tool— with custom data model, workflows, views, permissions, etc. We're trying to abstract things as much as we can to let end-users in control.
